Definitions

In this policy:

• "Cooperius", "we" or "our" refers to the platform and the organization that operates it.
• "Institution" refers to the school that uses Cooperius.
• "User" refers to any account holder — school staff, student or parent.
• "Personal information" refers to any information that allows a natural person to be identified, directly or indirectly.

Acceptance

By creating an account or using Cooperius, you acknowledge that you have read this policy. For student accounts, this acceptance is handled by the staff member who creates the account and, where applicable, their institution, in accordance with the access conditions described in our Terms of Use.

Information we collect

What we collect

We collect the information needed to create and manage accounts (first and last name, email, role), the content you create or upload to the platform (documents, assessments, messages), and technical and usage data (login logs, device type) needed to keep the service running.

Information about minor students

Student accounts are created and managed exclusively by a member of school staff — a student cannot create their own account. Information collected for a student is limited to what's needed for the school context (first and last name, assignments, assessments, communications with the teacher) and is never used for commercial or advertising purposes.

Why we collect it

This information lets us provide the platform's features (class spaces, grids, educational materials, emulation system, messaging), keep accounts secure, respond to your requests and meet our legal obligations.

How we collect it

We collect information directly from you (when you create an account, through the contact form), through the staff member who creates your account (student and parent accounts), and automatically as you use the platform (technical data and logs).

How we use this information

Your information is used only to provide and improve the service, keep the platform secure, communicate with you and respond to your requests. We never use it for advertising and never sell it.

Automated decisions

Cooperius makes no decision based exclusively on automated processing of your personal information. Assessments, observations and rewards recorded in the platform are entered by teaching staff, who remain their author and the person responsible for them.

Hosting and disclosure of your information

Hosting and data transfer

All platform data (accounts, educational content, communications) is hosted on Microsoft Azure servers located in Canada and never leaves Canadian territory. This guarantee does not apply to the two Cloudflare services on the public site, described in the next section.

Audience measurement and form protection

This public site uses no cookies. We measure its traffic with Cloudflare Web Analytics, which stores nothing in your browser and does not follow you from one site to another: it counts, in aggregate, the pages viewed, where visits come from, the country and the device type. The contact form is protected from automated submissions by Cloudflare Turnstile, which checks your browser when you send it. This technical data is processed by Cloudflare and may be processed outside Canada. The content of your messages never goes through Cloudflare.

Disclosure to third parties

We never sell your personal information. Some service providers (cloud hosting, email delivery, audience measurement and form protection on the public site) may have limited access to the data strictly necessary to perform their services, under confidentiality agreements.

Data retention

We keep your information for as long as your account is active or as needed to meet our legal obligations. You may request deletion of your information at any time, subject to applicable retention obligations.

Security of your information

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). We apply reasonable administrative, technical and organizational security measures to protect your information — no security measure is ever absolute.

Your rights

Subject to the limits provided by law, you may exercise the following rights over your personal information:

• Access — confirm that we hold information about you and receive a copy of it.
• Correction — have inaccurate, incomplete or ambiguous information corrected.
• Withdrawal of consent — withdraw, at any time, a consent you have given us.
• Portability — receive, in a structured and commonly used technological format, the computerized information you provided to us.
• De-indexing — request that the dissemination of information cease, or that the hyperlink giving access to it be de-indexed, where the conditions provided by law are met.

For a student account, such requests generally go through the teacher or institution responsible for the account.

If our response does not satisfy you, you may file a complaint with the Commission d'accès à l'information du Québec.

Changes to this policy

We may modify this policy at any time. Significant changes will be indicated by an updated date below; continued use of Cooperius after a change constitutes acceptance of the revised policy.
